Fitness booking software: what Gloora schedules for studios and trainers

Gloora is appointment software. It fits fitness businesses that sell time with a person — personal training, small-group sessions, recovery appointments — with repeat series, memberships and session packs. It does not describe class timetables with a per-class cap.

What a studio needs from booking software

Weekly sessions booked one by one

A client trains every Tuesday and Thursday; booking each session by hand, and moving all of them when they travel, eats the trainer’s week.

Packs and memberships on paper

Ten sessions bought, six used — or seven? A punch card and a memory don’t agree.

One studio, several trainers, one room

Two trainers can’t use the one private room at the same hour, while the open floor can take several clients at once.

How Gloora schedules a fitness business, step by step

  1. Set up sessions and trainers

Each service has a duration, buffers and a price per trainer; each trainer has their own calendar column and working hours.

In the app: Catalog → Services · Calendar

  2. Book a series in one go

A repeat booking places a session every week or every 2, 3 or 4 weeks, for 2 to 26 visits or up to a year, and checks each date. Moving one visit can move the following ones too, with one message to the client.

In the app: New booking → Repeat

  3. Sell memberships and session packs

Memberships (monthly, quarterly, annual or lifetime) can give free visits per cycle or unlimited sessions; shared sessions build a pack such as “10 sessions, any training”.

In the app: Settings → Memberships

  4. Hold rooms and small groups

A room is a resource with a capacity: 1 for a private room, more for a shared space. A group of up to 10 people can book together, each with their own booking and confirmation.

In the app: Catalog → Resources · Branch settings → group booking

  5. Let clients book themselves

Clients book on your booking page day and night, and reminders go out on WhatsApp and email (SMS for US numbers).

    In the app: Booking page

Limits and honest trade-offs

  • Gloora’s help centre does not describe group classes with a timetable and a member cap per class, where many clients book one instructor’s class. Studios that run mainly on class timetables should check this before choosing.
  • Outside branches that take cards through Run Payments (US), memberships do not charge a card automatically: renewals are recorded by hand.
  • A group booking links up to 10 people, each with their own booking.
  • SMS is US-only; elsewhere clients get WhatsApp and email.
