Best med spa software in Ireland, the UK, Australia or Canada? What to check
Gloora books the practitioner together with the room or the machine, keeps each client’s notes, allergies and consented visit photos, sells treatment courses and memberships, and takes deposits. It is not a medical-records system, and this page shows where that line is.
What a med spa needs from booking software
The laser is booked twice
A treatment needs the practitioner, the room and the machine at the same time. A diary that only knows people sells the one laser twice.
The file that lives in someone’s head
Her history, her allergies, the course she is halfway through: all of it walks out the door the day that practitioner does.
Courses, not single visits
Aesthetic treatments are sold as a course of sessions weeks apart; each visit has to be booked, counted and paid against the course.
How Gloora runs a med spa, step by step
Add rooms and machines as resources
A resource is any room, bed or machine a booking must hold. Link it to the treatments that use it, and a time is offered only when a qualified practitioner and the resource are both free.
In the app: Catalog → Resources
Keep notes, allergies and visit photos
The client profile holds visits, spend, notes and allergies. Photos are added to the booking once the visit starts, after a consent tick, and build the client’s photo history; if a client withdraws photo consent, every photo of their visits is deleted.
In the app: Clients → profile · Photos
Sell courses and book them as a series
Packages sell a multi-treatment course at one price; memberships carry free visits per cycle or a pool of shared sessions. A repeat booking places a course every 1, 2, 3 or 4 weeks and checks each date against the calendar.
In the app: Catalog → Packages · Memberships · New booking → Repeat
Hold bookings with a deposit
A branch can take an online deposit through its own Stripe account to lock the slot, with cancellation and no-show windows set per branch.
In the app: Settings → Branches → Deposit & cancellation
Control who sees what
Roles decide exactly what each person sees and does, and every change to a client record is listed with who made it.
In the app: Settings → Team · Clients → history

Limits and honest trade-offs
- Gloora is booking and business software, not an electronic medical record. Its help centre does not describe consent forms, medical intake questionnaires or clinical charting, so keep those in the system you use for them.
- SMS is US-only; in the UK, Ireland, Australia and Canada, clients get WhatsApp and email.
- Online deposits need your own Stripe account; Stripe’s card fees apply.
- Charging a no-show fee to a saved card is available where a branch takes cards through Run Payments, which is for US branches.
Questions buyers ask
What should med spa software do?
At the least: book the practitioner with the room and the machine, keep each client’s notes, allergies and photos, sell and count treatment courses, take deposits, and show what each treatment and practitioner earns. Gloora does all of these; clinical records and consent forms stay outside it.
How much is Gloora for a med spa in Ireland?
Ireland pays the Europe list: Basic EUR 79, Premium EUR 129, Own Brand EUR 239 per branch a month; a year costs 10 months’ price. VAT is added at invoicing.
How much is it in the UK, Australia or Canada?
These countries pay the Global list in USD: Basic USD 79, Premium USD 129, Own Brand USD 239 per branch a month. Gloora does not publish a GBP, AUD or CAD price.
Can Gloora stop a machine being double-booked?
Yes. Link the machine to its treatments as a resource with a capacity of 1, and no time is offered unless both the practitioner and the machine are free.
Does Gloora store before-and-after photos?
Photos are added to a visit after the client’s consent is ticked, and show on the client’s Photos tab with what was done and by whom. Withdrawing consent deletes them.
Does Gloora have consent forms or medical intake forms?
Its help centre does not describe them. Use your existing forms process alongside Gloora.
